Task Management

The task management system uses Kanban boards to help you visualize work progress, organize team responsibilities, and track project completion. Each project has its own customizable board with analytics and powerful filtering options.

Understanding the Kanban Board

Your project tasks are organized in a visual board with columns representing different stages of work.

Default Columns

Every new project starts with these columns:

  • To Do: Tasks that haven’t been started
  • In Progress: Tasks currently being worked on
  • In Review: Tasks awaiting review or approval
  • Completed: Finished tasks

Custom Columns

You can customize columns to match your workflow:

Access Column Management

Click the Settings icon in any column header and select “Manage Columns”.

Add New Columns

Create custom columns with:

  • Custom names that match your process
  • Color coding for visual organization
  • Completion status marking for tracking finished work

Drag columns to reorder them to match your workflow sequence.

Creating Tasks

Click Add Task

Click the ”+ Add Task” button in any column to create a new task.

Fill Task Details

Complete the task creation form:

  • Title: Brief, descriptive task name
  • Description: Detailed task information and requirements
  • Priority: Low, Medium, High, or Urgent
  • Due Date: Optional deadline for completion
  • Assignees: Team members responsible for the task

Save and View

Click “Create Task” to add it to your board. The task appears as a card in the selected column.

Moving Tasks Between Columns

Drag & Drop Simply drag task cards between columns to update their status.

Quick Status Update Use the status dropdown in task cards for quick updates.

Task Card Information

Each task card displays:

  • Title and Description: Task overview and details
  • Priority Indicator: Color-coded priority level (red=urgent, orange=high, yellow=medium, green=low)
  • Due Date: With overdue highlighting in red
  • Assignee Avatars: Visual representation of assigned team members
  • Status Badge: Current column/status

Edit Tasks Click any task card to open the edit dialog and modify:

  • Task details and description
  • Assignees and responsibilities
  • Priority and due dates
  • Status and column placement

Delete Tasks Remove tasks with confirmation to prevent accidental deletion.

Filter Options

Customize your board view with filters:

By Assignee Show tasks assigned to specific team members.

Use the search bar to quickly find specific tasks by title or description.

Task Creation

  • Specific Titles: Write clear, actionable task names
  • Detailed Descriptions: Include acceptance criteria and context
  • Realistic Deadlines: Set achievable due dates
  • Appropriate Assignment: Match tasks to team member skills

Workflow Design

  • Column Logic: Design status columns that reflect your actual process
  • Completion Tracking: Mark appropriate columns as “completion status”
  • Regular Maintenance: Review and update task statuses frequently

Team Collaboration

  • Clear Assignments: Ensure task ownership is unambiguous
  • Priority Management: Use priority levels consistently across the team
  • Progress Updates: Encourage regular task status updates
  • Comment Usage: Use task comments for progress notes and blockers
